When a landlord (or the landlord's agent, contractor, etc.) needs access to rental property occupied by a tenant, absent an emergency, advance written notice should be provided to the tenant(s). If there is a written agreement or lease with the tenant, you should review it to determine how much advance written notice is required. Usually 24 hours is sufficient under a written agreement or state law - but you should check your state's requirements. You should always try to provide reasonable notice and enter at reasonable times (absent an emergency).

This letter is used to provide written notice to the tenant regarding the landlord's entry into the rental property and the reasons for the entry.
